Information about your customers
Scrivn is used by restoration companies to document property-damage claims. When a company's staff create a claim, they may enter information about the property owner or occupant and the loss, including: name, property address, phone number, insurer and claim number; dates and cause of loss; a dictated walkthrough; sketches, measurements and moisture readings; and photographs of the property, including 360° images and site photos with the caption, the time and the room recorded with each. Scrivn processes this information on behalf of the company that entered it, only to provide the Service to that company: producing scope documents and inspection reports, storing the claim, and sending documents where the company directs. We do not sell it or use it for advertising. A customer with questions about their claim should contact the restoration company handling it, and we will help that company respond.
AI processing
To turn a walkthrough into a scope document and inspection report, Scrivn sends the claim's text (the dictation, the captions of its site photos with each photo's room and time, claim details and answers to follow-up questions) to Anthropic, PBC, which provides the Claude AI model. The site photos themselves are not sent. When a user chooses AI trace on a side of the house in the exterior sketch, Scrivn also sends Anthropic that side's photo, squared up to the wall (one of the claim's site photos, or a photo from Scrivn Scan), so that Claude can trace the wall's cladding, windows and doors and read its roof (pitch, overhangs, gable or hip) for the user to confirm; Scrivn does not store the squared photo. When a user chooses Photo beside a reading in the drying log, Scrivn sends Anthropic that photo of the meter's screen, reduced in size, so that Claude can read the number for the user to check; Scrivn does not store that photo. When a user uploads a roof measurement report (a PDF, which may include the property's address and aerial images of it) on the exterior sketch, Scrivn sends Anthropic that PDF so that Claude can read the roof's measurements for the user to check and accept; Scrivn keeps the numbers read, with the report's maker, date, address and file name, but does not store the PDF. Anthropic processes this information only to return the result and, under its commercial terms, does not use it to train its models. No other photos or files are sent for AI processing.
Dictation
When you use the Dictate button, or speak a caption after taking a photo in Scrivn, your speech is turned into text by your phone or browser's built-in speech recognition (on Android, Google's). Scrivn receives only the text. It never receives or stores audio.
Photos and location
Scrivn keeps no location (GPS) information from photos. Each photo taken or added in Scrivn is redrawn at a smaller size on your device before it is stored, which leaves out the location and the other details a camera writes into a photo file. When you add a photo from your phone's gallery, Scrivn reads only the date and time it was taken, to file it in order, and, for photos used to measure the outside of a house, the camera lens's focal length, to measure from them.
Sending an exterior to the Scrivn team
When you choose Send to Scrivn team on the outside of a house or another building, Scrivn staff see that claim's exterior photos, the tapes and other inputs you entered with them, and your note, to measure the outside for you. We see nothing else of the claim, and we are told it has arrived by an email that carries your note. The measurements are returned to the claim, where you choose whether to use them. Our working copies are deleted once the measurements are returned, or within 30 days. The request itself, with the measurements returned, is kept with the claim and deleted with it.
Scrivn Scan
Scrivn Scan uses your phone's camera to measure rooms and to take photos and 360° images. It asks for camera permission only, and does not access your location, microphone, contacts or files. Measurements and photos are sent to Scrivn when you send a scan to a claim. You can use Scan without an account.
You can sign in to Scan with your Scrivn email and password, create a Scrivn account in Scan (with your name, email address and a password), or link Scan to your account by scanning a pairing code. Your password goes to Scrivn only to sign you in and is not kept on the phone; the phone keeps a token instead, which you can end with Sign out in Scan or by revoking the phone from your account. While Scan is signed in, Scrivn records an ID for each scan the first time it is shared as a plan or sent, with the time and which phone, to count your free scans each month.
When you choose Send to Scrivn team, Scan sends us that scan's measurements, the app's recent log (what the app did and how its tracking went, for that scan and any others made since the app was opened, including their measurements, with your phone's model and its Android and app versions), a random ID made for this copy of the app, and whatever you write in the note and contact boxes. No photos are sent this way. We use these only to find and fix problems in Scan, and delete them within 12 months.
Scrivn Scan runs on Google Play Services for AR (ARCore), which is provided by Google LLC and governed by the Google Privacy Policy.
Working without a connection
So that Scrivn works with no signal, it keeps a copy of the claims you have opened recently, and of the latest ones on your claims list, in your browser's storage on your device, along with changes that have not reached our servers yet, photos that have not uploaded yet, AI steps waiting to run, and exteriors waiting to be sent to the Scrivn team. Signing out removes those copies; changes and photos that have not reached Scrivn yet stay on the device, out of sight of anyone else who signs in there, until you sign in again, so that they are not lost. Scrivn Scan likewise keeps a scan it could not send, with its photos, on the phone until it has been sent or you delete it.
Service providers
Your account, and your claims, photos and scans, are stored in Canada. To run Scrivn we also use the providers below, several of them in the United States, so information they handle (for example a claim's text during AI processing, or an email being sent) may be processed there:
Keeping and deleting claim data
Claims, photos and scans are kept until the company deletes them, or for 24 months after the company's account closes. Claims and photos can be deleted in the app; deleting a claim deletes its photos and scans with it.
Accounts we set up for you
While Scrivn is by invitation, we may set up an account for you when you, or the person who invited you to try Scrivn, ask us to, using the name, email address and company name we are given. We send that address one email saying how to choose your password; we never choose or see it. If you did not expect that email, you can ignore it, or write to [email protected] and we will delete the account.
Deleting your account
You can delete your account yourself, in Scrivn Scan (Account, then Delete account) or at scrivn.ca/account/delete, or by emailing [email protected] from the address on the account. You'll be asked for your password. Deleting your account deletes at once your sign-in, your name and contact details, the phones linked to your account, and problem reports you sent from Scan while signed in. If nobody else is in your company's account, it also deletes the company's claims, photos, scans, letterhead and logo, and cancels its subscription straight away (the time already paid for is not refunded). If other people are in your company's account, you leave it, and the claims stay with the company. We keep payment records, which Stripe holds as tax law requires, and a one-way scrambled copy of your email address (see below).
Security and preventing abuse
To protect accounts and limit abuse, Scrivn counts attempts to create an account and to sign in to Scan, keyed by a one-way scrambled copy (a hash) of the internet address and of the email address used, which cannot be turned back into either; these counts are deleted within two days. To stop the free trial being claimed more than once, Scrivn keeps a one-way scrambled copy of the email address of each account created, including after the account is deleted. Scrivn also keeps a daily total of what its AI processing costs, which holds no personal information.
