Collecting and Using Your Personal Data

Types of Data Collected

Personal Data

While using Our Service, We may ask You to provide Us with certain personally identifiable information that can be used to contact or identify You. Personally identifiable information may include:

  • Email address
  • Your first name, if You choose to give it during onboarding
  • Your home city and state, if You choose to add them to Your profile

Usage Data

Some technical data is collected automatically when You use the Service. This may include Your Device's IP address, device type, operating system and version, app version, language setting, and the dates and times of requests to Our servers. Our Service Providers collect this to run the Service, keep it secure, and check that sign-ups and logins come from a real person.

We do not use advertising or analytics tracking tools. We do not ask for or collect Your Device's GPS or precise location, and We remove location data embedded in photos before they are uploaded.

Information Collected while Using the Application

While using Our Application, in order to provide features of Our Application, We may collect, with Your prior permission:

  • Pictures from Your Device's camera and photo library. We only access a photo when You take or choose it in the App, and We only add a photo to Your photo library when You tap Save to Photos.

Photos and Journal. When You save a photo to Your Journal (from a challenge, the daily photo, or the first photo during onboarding), We store a larger copy (up to 1280 pixels wide), a smaller thumbnail, the date You saved it, the related challenge (if any), and any caption You add. Journal photos are stored in private cloud storage linked to Your Account. They are not shown to other users. Accounts without an active Pro subscription can store up to 500 Journal photos, and Pro accounts up to 5,000. If You are offline, a photo waits on Your Device and uploads the next time You are connected.

Profile picture. If You use a photo as Your profile picture, a small copy is saved to Your public profile, which other signed-in users can see. The first photo You take or choose during onboarding automatically becomes Your profile picture until You change it. You can change it to an emoji at any time in Edit Profile.

Dog profile and progress. We store the details You give about Your dog (such as name, breed, birthday, and the date Your dog came home, which We use for "days together" and Your Gotcha Day countdown), a short bio if You add one, plus Your in-app progress, such as challenges finished, Your daily photo streak, awards and wallpapers.

Reminders. If You allow notifications, the App schedules reminders (such as a daily photo reminder at the time You choose and a reminder before Your free trial ends) directly on Your Device. Your reminder settings are stored on Your Device and in Your Account data. We do not use a push notification service to send them.

You can turn camera, photo library and notification access on or off at any time in Your Device settings.

Survey and Preference Information

During onboarding, We collect information You provide about Your dog (such as name, breed, age range, energy level and the date Your dog came home), Your in-app preferences (such as what You want to focus on, when You are usually with Your dog, and what You never want to forget about Your dog), and how You heard about Dog Well. Before You create an Account, these answers and any onboarding photo are kept only on Your Device. They are saved to Your Account after You sign up. If You start a subscription before creating an Account, the app store and RevenueCat process that purchase under an anonymous identifier, which is linked to Your Account when You sign up. We use this information to personalize Your experience and to understand how people discover our app.

What Other Users Can See

Dog Well has social features (Pack, Rankings and friends). Other signed-in users of the App can see Your public profile: Your dog's name, breed, profile picture (emoji or photo), Your memories count, daily photo streak, number of challenges finished, challenge counts by type, awards, when You were last active, and the Packs You belong to. If You share a friend invite link, it contains an identifier for Your Account. Other users cannot see Your Journal photos, captions, survey answers, Gotcha Day date, email address, or city and state.

Service Providers We Use

We share information with the following Service Providers only as needed to run the Service:

  • Supabase: account login, database and photo storage.
  • RevenueCat: manages subscriptions. It receives an app user identifier, basic device information, and Your purchase and subscription status from the app store.
  • Apple App Store and Google Play: process payments. We never see or store Your payment card details.
  • hCaptcha: checks that sign-ups and logins come from a real person. Its code loads when You open the App, and it may process Your IP address and device and browser information for this purpose.
  • Resend: delivers account emails such as verification and password-reset codes, and subscription emails such as Your Dog Well Pro receipt and renewal reminders.
  • Google: hosts Our support email (Gmail) and Our account deletion request form (Google Forms), and serves the App's fonts (Google Fonts), which means Google receives Your IP address and basic device information when the App loads.

We do not sell Your Personal Data, and We do not share it with advertisers or data brokers. We do not use Your data to track You across other companies' apps or websites, and We do not allow Our Service Providers to use it for that purpose.

AI and Your Photos

We do not use Your photos, captions or other content to train artificial intelligence or machine learning models, and We do not give them to anyone else for that purpose.

Use of Your Personal Data

The Company may use Personal Data for the following purposes:

  • To provide and maintain our Service.
  • To manage Your Account: to manage Your registration as a user of the Service. The Personal Data You provide can give You access to different functionalities of the Service that are available to You as a registered user.
  • For the performance of a contract: the development, compliance and undertaking of the purchase contract for the subscription You have purchased through the Service.
  • To contact You: by email or in-app notifications about Your Account, security, Your subscription, and important changes to the Service.
  • To manage Your requests: to attend and manage Your requests to Us.
  • To keep the community safe: to review reports about users or Packs and to take action against content or behavior that breaks Our Terms of Service.
  • For business transfers: We may use Your Personal Data to evaluate or conduct a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of Our assets, whether as a going concern or as part of bankruptcy, liquidation, or similar proceeding, in which Personal Data held by Us about our Service users is among the assets transferred.
  • To improve the Service: using the information described in this policy (such as survey answers and in-app progress counts) to understand how people discover and use the App. We do not use third-party analytics tools.

We may share Your Personal Data in the following situations:

  • With Service Providers: as listed in "Service Providers We Use" above.
  • For business transfers: We may share or transfer Your Personal Data in connection with, or during negotiations of, any merger, sale of Company assets, financing, or acquisition of all or a portion of Our business to another company.
  • With other users: as described in "What Other Users Can See" above.
  • With Your consent: We may disclose Your Personal Data for any other purpose with Your consent.

Retention of Your Personal Data

The Company will retain Your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy.

  • Account data, Journal photos and captions: kept until You delete them or delete Your Account.
  • Photo limits after a downgrade: if Your Pro subscription ends while You have more than 500 Journal photos, We do not delete any of them. You keep access to all of them, but You cannot add new photos until You are below the free limit.
  • Content reports: kept as long as needed to handle repeat problems, generally up to 1 year.
  • Purchase consent records (the plan, price and subscription terms shown to You when You subscribed, the agreement text, and the time): kept for 3 years, or until 1 year after Your subscription ends if that is later, including after You delete Your Account, so We can show what You agreed to as the law requires.
  • Subscription emails: We keep a copy of the receipt and renewal emails We send You. These copies are deleted when You delete Your Account.
  • Emails with Us: kept as long as needed to handle Your request, generally up to 24 months after it is resolved.
  • Server and security logs (such as sign-in records, IP addresses and access times): kept by Our Service Providers for as long as needed for security, fraud prevention and troubleshooting.
  • Purchase records: Your payment card details are never stored by Us. Purchase and subscription records are kept by Apple, Google and RevenueCat, and by Us where required for tax and accounting purposes, for up to 10 years.
  • Backups: copies in Service Provider backups are deleted on their normal schedule, within 30 days.

We may keep Personal Data longer only where the law requires it or where it is needed to establish, exercise, or defend legal claims.

Transfer of Your Personal Data

Your information, including Personal Data, is processed at the Company's operating offices and in any other places where the parties involved in the processing are located. It means that this information may be transferred to, and maintained on, computers located outside of Your state, province, country or other governmental jurisdiction where the data protection laws may differ from those from Your jurisdiction.

The Company will take all steps reasonably necessary to ensure that Your data is treated securely and in accordance with this Privacy Policy.

Delete Your Personal Data

You have the right to delete or request that We assist in deleting the Personal Data that We have collected about You. You can delete individual Journal photos in the App at any time. You can delete Your entire Account in the App under Settings → Delete account, or by using Our account deletion request form at https://docs.google.com/forms/d/e/1FAIpQLSefYIZRbV-i9tZB-plJJMwbtKNcZosoKBcyMBDYCclGYtF1kA/viewform.

Deleting Your Account permanently removes Your login, Account data, public profile, friendships, Packs You created, and Journal photos and captions. Removal from Our active systems happens right away, except limited security logs (such as sign-in records), Our purchase consent records, and purchase records kept by Apple, Google and RevenueCat, which are handled as described in Retention. Copies in Service Provider backups may take up to 30 days to be deleted. Deleting the App from Your Device does not delete Your Account, and deleting Your Account does not cancel an app store subscription, which You must cancel with Apple or Google. If You tap Save to Photos, a copy goes to Your phone's photo library; it stays there even if You delete Your Account.

You can update most of Your information in the App, and You may also contact Us to request access to, correct, or delete any Personal Data that You have provided to Us. We may need to keep certain information when We have a legal obligation to do so.

Disclosure of Your Personal Data

Business Transactions

If the Company is involved in a merger, acquisition or asset sale, Your Personal Data may be transferred. We will provide notice before Your Personal Data is transferred and becomes subject to a different Privacy Policy.

Law enforcement

Under certain circumstances, the Company may be required to disclose Your Personal Data if required to do so by law or in response to valid requests by public authorities (e.g. a court or a government agency).

Other legal requirements

The Company may disclose Your Personal Data in the good faith belief that such action is necessary to:

  • Comply with a legal obligation
  • Protect and defend the rights or property of the Company
  • Prevent or investigate possible wrongdoing in connection with the Service
  • Protect the personal safety of Users of the Service or the public
  • Protect against legal liability

Security of Your Personal Data

Data sent between the App and Our servers is encrypted in transit. Journal photos are kept in private cloud storage, and other users of the App cannot see them. The App shows them to You using temporary links that expire after 7 days. Our authorized administrator and Our hosting provider can technically access stored data, and We only do so when needed to run, secure or support the Service, or when the law requires it. The security of Your Personal Data is important to Us, but remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. While We strive to use commercially reasonable means to protect Your Personal Data, We cannot guarantee its absolute security.

Payments

Subscriptions are bought through the Apple App Store or Google Play. We will not store or collect Your payment card details. That information is provided directly to Apple or Google, whose use of Your personal information is governed by their Privacy Policies.

Users in the European Economic Area, United Kingdom and Switzerland

If You live in the European Economic Area (EEA), the United Kingdom or Switzerland, the following also applies to You.

Who is responsible for Your data. Cookie Cut Apps (Yorba Linda, California, United States) is the controller of Your Personal Data. You can reach Us at [email protected].

Why We are allowed to use Your data (legal bases).

  • To perform Our contract with You: creating and running Your Account, storing Your Journal photos, Your public profile, the social features, reminders, and Your subscription.
  • Our legitimate interests: keeping the Service secure, preventing fraud and spam (including the hCaptcha check), handling reports, improving the Service from survey answers and in-app counts, and defending legal claims. We balance these interests against Your rights.
  • Your consent: access to Your camera, photo library and notifications. You can withdraw consent at any time in Your Device settings. Withdrawing consent does not affect anything done before.
  • Legal obligations: keeping purchase records for tax and accounting.

Your rights. You have the right to access Your Personal Data, correct it, delete it, restrict or object to how We use it, receive a copy of it in a portable format, and withdraw any consent You gave. To use these rights, email Us. We will respond within one month. You also have the right to complain to the data protection authority where You live or work.

International transfers. We are based in the United States, and Our Service Providers store and process data in the United States and other countries. When Your Personal Data is transferred outside the EEA, the United Kingdom or Switzerland, We rely on Our Service Providers' data processing agreements, which use the European Commission's Standard Contractual Clauses (and the UK and Swiss equivalents) or another lawful transfer mechanism.

No automated decisions. We do not make decisions about You based solely on automated processing that have legal or similarly significant effects.

Do Not Track

We do not track You across third-party websites or apps, so the App does not respond differently to "Do Not Track" signals.

Children's Privacy

Our Service is intended for adults 18 and older and does not address anyone under the age of 18. We do not knowingly collect personally identifiable information from anyone under the age of 18. If You are a parent or guardian and You are aware that Your child has provided Us with Personal Data, please contact Us. If We become aware that We have collected Personal Data from anyone under the age of 18, We take steps to remove that information from Our servers.

Links to Other Websites

Our Service may contain links to other websites that are not operated by Us. If You click on a third party link, You will be directed to that third party's site. We strongly advise You to review the Privacy Policy of every site You visit. We have no control over and assume no responsibility for the content, privacy policies or practices of any third party sites or services.

Changes to this Privacy Policy

We may update Our Privacy Policy from time to time. We will post the new Privacy Policy on this page and update the "Last updated" date at the top. For material changes, We will also let You know by email or a notice in the App before the change takes effect.

You are advised to review this Privacy Policy periodically for any changes.
